Role purpose:
To provide comprehensive trust and company administration services for our international client base, maintaining a complex client portfolio and provide assistance in managing a team.
Core responsibilities:
- Understand and administer a complex client portfolio, which may include Trusts, Companies, Foundations and Limited Partnerships established in multiple jurisdictions for an international client basis. Assist other members of the Team with the administration of entities in their portfolio.
- Establish and maintain strong working relationships with your team, intermediaries, clients and client advisors.
- Attend and participate in meetings with clients, intermediaries and advisors.
- Assist with the training requirements of Assistant Administrators and in doing so build up their confidence and knowledge of Trust and Corporate services.
- The ability to work on one’s own or as part of a team.
- The ability to tackle an issue or problem through a solution using your initiative.
- Strong written and verbal communication skills.
- Willing to be involved in projects which cover client portfolios and projects which involve the entire company.
- Action diaries and action points related to entities in the client portfolio in a timely and efficient manner to avoid diaries and action points becoming overdue or breached. Be proactive in looking ahead at future diaries becoming due.
- Aim to achieve the target utilisation for billable time set for the respective role.
- Undertake the billing and debt collection for your client portfolio.
- Undertake the initial review of Working Papers files for the annual Accounts / Financial Statements for your client portfolio and where appropriate, a final “Managers” review either in their absence or as agreed (subject to appropriate experience/qualification).
- Understand the requirements involved in acquiring, maintaining, monitoring, transfer and disposal of many varied asset classes held within your client portfolio in accordance with the Office Procedures Manual.
- Prepare complex correspondence and Board/Trustee minutes as necessary, and assist the Manager in reviewing the team's work, as required.
- Completed periodic reviews of your and the team’s client files, as necessary.
- Assist the Trust Manager / Associate Director with managing the Team including conducting quarterly staff assessments and reviews.
- Deputise for the Trust Manager / Associate Director during periods of absence.
- Attend functions and presentations to represent the business.
- Provide general assistance to the Manager and Directors in connection with the day-to-day running of the team and preparation of relevant financial information/reports as and when required.
- Review and check the work of other members of the Team.
- Attention to detail and accuracy.
- Working knowledge of basic functions of Outlook, Work and Excel.
Technical / Professional / Qualification Requirements:
- CGI/ STEP Diploma or equivalent completed; Studying to obtain CGI/ STEP Professional or equivalent if not already achieved (JFSC Minimum is Hold Table 5 qualification plus a minimum of 5 years’ relevant experience); or
- Qualified Accountant (by qualification through the Professional body); or
- Qualification relevant to function; and
- Evidence of Continuous Professional Development; and
- Management Training undertaken; and
- People Management skills and experience

Have a clear understanding and working knowledge of the operation and processes of the following areas:
- Guernsey Registry and Company Registries of other jurisdictions.
- Guernsey Beneficial Ownership Register and beneficial ownership requirements of other jurisdictions.
- FATCA / CRS including classification, reporting requirements and completion of associated documents.
- AML /CFT.
- CDD and ECDD requirements.
- Guernsey and UK tax filing requirements.
- Have a basic understanding of the tax requirements of other jurisdictions.
- UK property including Companies House Register of Oversees Entities.
- Trust Law.
- Company Law.
